Deleting your account and your data

Chui — «чуй» in Bulgarian — is a meeting recorder published by Generative Chaos LLC. This page is how you delete a Chui account and everything in it. There are two routes and they end in the same place; the first takes about ten seconds and needs nobody's help.

Our Privacy Policy governs throughout: section 9 is retention, section 10 is your rights, and paragraphs 6.3 and 6.5 are for people who were recorded and hold no account of their own.

1. Delete it yourself, inside the app

1.1 Where it is. Open Chui, go to Settings, and press Delete my account — the last thing on that screen. It is in the same place on the iPhone, on Android, on the Mac, on Windows and at chui.io, and you may use whichever you have to hand. The app asks once, in words, and names what will be lost before it does anything.

1.2 There is no grace period. The account and every record of your meetings are destroyed the moment you ask. Nothing is held for thirty days in case you change your mind, and there is no recovery facility — so if there is a recording, a transcript or a note you want to keep, retrieve it first.

1.3 What is destroyed. Your account, your meetings, the audio, the transcripts, the summaries, the titles, the speaker labels, the notes you typed, the people Chui knew about, the voiceprints measured from your recordings (paragraph 6.5), your calendar connections and the credentials behind them, and any fault report you sent from within the app together with any file you attached to it.

1.4 Where it is destroyed. Everywhere, not only on the screen. The rows go at once; the stored audio files behind them, and the routine backups that carried them, are removed within thirty days (section 9).

1.5 A deleted recording cannot come back. Chui remembers for ever that a particular recording was deleted, so a device that had not finished uploading it when you pressed delete cannot put it back afterwards. What is remembered is that an identifier is dead; the recording itself is gone.

1.6 Two cases where the app says no. If a recording is running, Chui asks you to stop it first — a paused one counts. And if you are the only owner of a company that still has other people in it, Chui refuses, because deleting the account would leave those people with a company nobody can administer; make somebody else an owner, or remove them, and then delete. Each refusal says which it is and names the thing to do about it.

2. Ask us to delete it instead

2.1 Write to privacy@chui.io. If you cannot get into the app — a phone you no longer have, a sign-in provider you have closed — send us a message from the email address the account uses, or tell us which sign-in provider you used, and ask for the account to be deleted.

2.2 We may have to establish that it is yours. We will ask only for what we need in order to be sure, and we will not ask for a document you have no reason to send us.

2.3 When you will hear back. Within one month, as section 10 says. In practice it is faster, and the deletion itself is the same destruction section 1 describes.

3. Deleting one meeting rather than the whole account

3.1 It is on the meeting. Open the meeting and delete it there. Chui names the meeting and asks before it does anything.

3.2 Everything of that meeting goes with it — the audio, the transcript, the summary, the notes, and the voiceprints measured from it (paragraph 6.5) — and the same rule as 1.5 applies: that recording cannot come back.

3.3 Two things survive a deleted meeting, and we say so plainly. A fault report you sent us about that meeting, and any file you attached to it, is a support communication and is kept while it remains necessary (section 9); it is deleted with your account. So is a question you asked an assistant that happened to quote the meeting (paragraph 2.6).

4. If you were recorded and do not hold the account

4.1 You can ask us directly. Write to privacy@chui.io. You may ask for the recording or your voiceprint to be erased, or object to your voice being measured at all, without holding a Chui account and without going through the person who made the recording. Paragraphs 6.3 and 6.5 of the Privacy Policy set out what we do and the time within which we answer.

5. What is not deleted with the account

5.1 The list of what was deleted. Paragraph 1.5 is the reason: to guarantee that a deleted recording can never reappear, Chui keeps one short entry per deleted recording, and keeps it for ever. It holds three things — the recording's identifier, the identifier of the account it was deleted from, and the moment it went. There is no audio, no transcript, no summary, no title and no note behind it, and the account identifier is our own internal one rather than your name or your address.

5.2 An invitation somebody else's company sent to your address. Where a company invited you by email, that invitation is the company's own record of an address its owner typed, not something your account gave us, and it outlives your account exactly as it would have if you had never signed in. If you want it removed, write to privacy@chui.io.

5.3 Usage and diagnostic records. These are kept for as long as they remain useful (section 9). A usage event identifies an account only by an internal identifier, and a diagnostic record carries no account identifier at all — so once the account is deleted there is nothing left linking either to a person.

5.4 An engineering record of a fault. Where the substance of a fault report has already been written down so the fault can be fixed, that record is kept and identifies the report rather than you or your account.

5.5 Where the law requires it. We may keep Service Data for longer where we are required to, or where it is reasonably necessary to establish, exercise or defend legal claims (section 9).
